Guest Access

Guest Access lets you give contractors, vendors, and temporary staff limited access to your OpsGrip workspace without making them full team members.

Where to Find It

Go to Settings → Guest Access from the sidebar.

How It Works

  1. Create a guest invitation with a name, email, and purpose
  2. Set an expiration date — guests automatically lose access when it passes
  3. Define scope — which modules and data the guest can see
  4. Send the invitation

The guest receives a link to a scoped portal at /guest/[token] where they can access only what you've shared.

What Guests Can See

Guests see a limited view of your workspace based on what you share. You control access at the module level.

Guests never see: - Cost information (purchase prices, subscription costs) - Serial numbers (optional — you can choose to show or hide these) - Billing or subscription details - Other team members' personal information - Admin settings

This is especially important for vendors — you might want them to see equipment specs but not what you paid for them.

Expiration and Auto-Revoke

Every guest invitation has an expiration date. When it passes: - Access is automatically revoked - The guest's portal link stops working - No manual action needed from your team

You can also revoke access manually at any time.

Plan Limits

  • Pro — 1 guest at a time
  • Team 10 & Team 25 — Unlimited guests

Tips

  • Use Guest Access for vendor audits, contractor projects, and temporary staff
  • Always set an expiration date — it's easy to forget to revoke access manually
  • The cost-hiding feature is a lifesaver when sharing inventory data with external vendors
  • Guest Access is an optional module — enable it in Module Management when you need it
