IT Inventory Management

OpsGrip's IT Inventory gives you a complete picture of every asset your team manages — from laptops and servers to software licenses and spare cables.

Asset Categories

Every inventory item belongs to one of six categories: - Hardware — Laptops, desktops, servers, workstations - Software — Licenses, subscriptions, installed applications - Network Equipment — Switches, routers, firewalls, access points - Peripherals — Monitors, keyboards, mice, printers, scanners - Supplies — Cables, toner cartridges, spare parts, adapters - Mobile Devices — Phones, tablets, hotspots

Status Tracking

Every item has a status: - Active — Currently in use and assigned - In Storage — Available but not deployed - In Repair — Out for service or being fixed internally - Decommissioned — End of life, no longer in use - Lost — Missing or unaccounted for

Health Scores

OpsGrip automatically calculates a health score for each asset based on: - Age of the device - Warranty status (expired, expiring soon, or active) - Current condition and repair history

This helps you prioritize replacements and budget for upcoming hardware refreshes.

Warranty Alerts

Enter purchase dates and warranty expiration dates, and OpsGrip will alert you before warranties expire. No more discovering a server's warranty lapsed six months ago when it finally dies.

QR Codes

Every inventory item gets a unique QR code. Print them and stick them on equipment — scanning the code pulls up the item's full details in OpsGrip. Great for server rooms, IT closets, and equipment checkouts.

Filters and Views

Switch between Grid View (cards) and List View (table). Filter by: - Department - Site / Location - Status - Assigned team member - Category

Integration with Other Modules

Inventory connects to: - Sites & Locations — Know exactly where each asset lives - Trip Ops — Pack inventory items for field trips - Team — See who has what assigned to them

Tips

  • Add serial numbers and model numbers — they save hours when calling vendor support
  • Use the "Assigned To" field consistently so you always know who has what
  • The QR code feature pairs well with a label maker for physical asset tagging
  • Review decommissioned items quarterly and archive what you no longer need to track
